About the Role (HR Assistant Jobs in Uganda – NGO Sector)
Medical Teams International is hiring a Human Resources Assistant in Uganda (Yumbe – Bidibidi and Kyaka) to support HR operations in humanitarian field programs.
This role is critical in ensuring smooth HR administration, staff support, recruitment coordination, onboarding, payroll support, and compliance across field operations in refugee and vulnerable community settings.
Key Responsibilities
HR Administration & Records Management
- Maintain complete and accurate HR staff files at field level
- Ensure employee records comply with organizational requirements
- Manage HR documentation, timesheets, and attendance tracking
- Track and distribute leave forms per project cycle
Recruitment & Onboarding Support
- Support recruitment processes including shortlisting, interviews, and screening
- Coordinate recruitment schedules and interview logistics
- Assist onboarding of new staff and orientation on HR policies
- Support preparation of appointment letters and reference checks
- Register new employees into HR systems (UNIT4 or equivalent)
Payroll & HR Systems Support
- Assist in monthly payroll updates and verification
- Support payroll change submissions and reporting
- Ensure accurate HR data entry into systems
- Support HR Officer in payroll review before payment
Employee Relations & Welfare
- Support disciplinary processes and investigations
- Assist in employee exit processes and exit interviews
- Coordinate staff welfare activities and emergency support
- Handle HR inquiries from staff at field locations
Reporting & Compliance
Safeguarding & Protection
- Promote safe workplace practices
- Support child protection and safeguarding policies
- Ensure compliance with anti-harassment and PSEA standards
Requirements
Education
- Bachelor’s degree in Human Resource Management or Industrial Psychology
Experience
- Minimum 2 years HR experience
- Experience in humanitarian or NGO sector (added advantage)
- Experience in HR data and administration is an advantage
Skills & Competencies
- Strong HR knowledge (recruitment, onboarding, performance management)
- Proficiency in MS Word, Excel, PowerPoint, Outlook
- Strong attention to detail and confidentiality
- Excellent communication and interpersonal skills
- Ability to multitask in high-pressure field environments
- Strong organizational and reporting skills
- Ability to work in remote and challenging environments
Work Environment
- Field-based role in Yumbe (Bidibidi Refugee Settlement) and Kyaka, Uganda
- Exposure to humanitarian and refugee operations
- High travel requirement (up to 75%)
- Moderately quiet office environment but with frequent field movement
